Guidelines for authors

For manuscript preparation authors should follow the present guidelines based on the requirements of Russian and international associations and organizations, including Uniform Requirements for Manuscripts Submitted to Medical Biological Journals elaborated by the International Committee of Medical Journal Editors, and also on the principles and rules of COPE (Committee on Publication Ethics), WAME (World Association of Medical Editors), ORI (the Office of Research Integrity), CSE (Council of Science Editors), EASE (European Association of Science Editors), and on instructions of ASEP (Association of Science Editors and Publishers) and of HAC (Higher Attestation Commission). 

Scientific articles published in the journal “I.P. Pavlov Russian Medical Biological Herald” reflect a wide range of interests in the field of medicine and biology. In the journal original research works, reviews and discussions and also case reports (clinical cases) and current events in the following fields may be published:

I. General guidelines

  • A manuscript is submitted to the editorial body in the electronic variant through online form. A file downloaded into the system should be presented in Microsoft Word format (*.docx). The submitted materials should contain all information for publication (including pictures and tables).

  • The volume of the complete text of manuscript (original research, reviews, discussions) including tables and bibliography should not exceed 6 000 words. The volume of articles dedicated to description of clinical cases should include not more than 4 000 words. The quantity of words in the text could be determined using Word menu (File – Properties – Statistics, or Review – Statistics). If, in the author’s opinion, the volume of the article exceeding the set limit is justified and cannot be reduced, the decision about publication is taken at a meeting of the editorial board upon the recommendation of the reviewer.

  • Format of text of the manuscript. Emphases in the text may be made ONLY in italics or semi-bold font, and NOT by underlining. All repeating spaces and extra line breaks should be eliminated from the text (in the automatic mode through Microsoft Word service Find and Replace).

  • Structure of Manuscript

II. Details

2.1. Abstract.

  • Article title. In capital letters, using semi-bold font, with center alignment, with no dot at the end.

  • Authors. Initials of the name and patronymic (with dots) and after a space -  the surname are to be specified. Italics, center alignment should be used with no dot at the end. If authors of the publication belong to different institutions, the number of the institution should be indicated superscript after all surnames. The corresponding number is given in the round brackets.

  • Affiliation. A FULL official name of the institution(s) should be given (with no abbreviated forms). After each name of the institution(s) the address should be indicated after a comma in the following format: street (prospect, square, etc.), number of the building (only numeric value, with no letter “b”), index, city, country. After that the number of the institution should be indicated in the round brackets in the order of listing (if authors belong to different institutions).

  • Article summary should fully correspond to the content of the work. The volume of summary is from 200 to 300 words. If the work is dedicated to an original research, the summary should be structured into sections: INTRODUCTION (BACKGROUND), AIM, MATERIALS AND METHODS, RESULTS, CONSCLUSION. Headings of  article sections are emphasized in semi-bold italics. For other formats of the article (review, discussion, description of clinical case) the summary is written without division to sections.

  • Keywords. It is necessary to indicate from 2 to 10 keywords that permit indexing of the article in search systems. It is recommended that generally accepted terms and keywords should be used. it is recommended to consult thesaurus of the USA National Medical Library - Medical Subject Headings (MeSH), https://www.ncbi.nlm.nih.gov/mesh.

2.2. Full text should be presented in English. For the works dedicated to the original research, the text should be structuralized into sections: Introduction (no title of this section is specified), Materials and Methods, Results, Discussion, Conclusions. The text of review, clinical cases, etc. are written arbitrarily.  

2.3. Additional information.

  • Information of conflict of interests. Authors should disclose potential and existing conflicts of interests concerning the manuscript. Conflict of interests may be any situation (financial relationships, service or work in institutions having financial or political interest in published materials, professional liabilities) that can exert influence on the author and make him conceal or falsify the data or change their interpretation. The existence of the conflict of interests in one or several authors is NOT a reason for refusal in publication of the article. A reason for refusal in consideration and publication of the article may be concealed potential and evident conflicts of interests discovered by the editorial staff.

  • Information about financing. It is required to indicate a source of financing both of a scientific work and of publication of the article (a fund, a commercial or state organization, a private individual, etc.). It is not required to specify the amount of financing. 

  • Acknowledgements. Authors may express gratitude to individuals and organizations that rendered assistance in publication of an article in a journal, but are not authors of the article. For example, “Authors wish to express their appreciation to (name) for  implementation of illustrations”.

  • Author’s сontribution. For research articles with multiple authors, the contribution made by each author to specific items should be indicated:

    - study concept and design,

    - collection and treatment of the material,

    - statistical data processing,

    - writing the text,

    - editing.

2.4. References. In bibliography (list of literature used in the article) each literature source should be placed on a new line with the ordinal number. Detailed rules of presentation of bibliography may be found in a special section Bibliography. The most important of them are:  

  • In the list all the works are mentioned in the order of citation, and NOT in the alphabetic order. For one statement not more than 3 references to literature sources should be given in the text of an article.

  • The quantity of works of reference: in the original articles and clinical cases up to 20 works of reference are allowed, in reviews and discussions – up to 40 sources. It is reasonable to cite works published within the recent 5-7 years, with the exception of works of high historical value. Self citation is allowed only in 2 references.

  • In the text of the article references to the sources are given in square brackets in Arabic numerals without space: [1] or [1,2], or [5-7].

  • In bibliographical description of each source not more than three authors should be mentioned. In case there are more than three authors, after the third author a comma should be written (obligatorily), followed by a space and abbreviation “et al”.

  • It is unacceptable to abbreviate the name of article.

  • Names of English journals should be given according to the catalogue of names (https://www.ncbi.nlm.nih.gov/nlmcatalog/journals/) of MedLine data base. If the journal has no index in MedLine, its full name should be written.

  • section “References” should be written in Vancouver format AMA version (AMA style, http://www.amamanualofstyle.com); for more details see the page “Bibliography”;

 

2.5. Information about authors. All authors of the manuscript are indicated successively: surname, name, patronymic (in this section in full), degree, academic title, job title, place of work (including a city and country). An author for communication with the authors’ team should be indicated separately and only for him there should be indicated the OPERATING (!) e-mail, phone (only for communication with the author, not placed in the article). Addresses, mobiles and e-mail of other authors may not be indicated in the full text of the manuscript. For EACH author  Researcher ID (in format: Х-ХХХХ-20ХХ), ORCID ID (ХХХХ-ХХХХ-ХХХХ-ХХХХ) should be NECESSARILY indicated

  • To obtain ORCID ID it is necessary to be registered on site https://orcid.org/signin . You will be assigned your unique number which will eliminate the problem of differences in writing authors’ names – it will be always possible to clarify your data on ORCID. Thus, your personal citation index will rise.

  • To obtain Researcher ID index it is necessary to be registered on site https://publons.com/account/register/.

III. Tables

Tables should be inserted into the text of an article, they should have numbered headlings and clearly designated columns convenient and understandable for reading. The table data should correspond to numerals in the text, but, however, they should not duplicate information given in it. References to tables in the text are obligatory.

IV. Pictures

Graphs, diagrams, schemes, drawings and other illustrations implemented by MS Office features should be of high quality, high contrast and distinct. The volume of graphic material should be minimal (except for the works where it is justified by the kind of research). Pictures implemented by MS Office features are recommended to be inserted in the text of the article with numbered captions and full titles.

V. Photos

Photos, screenshots and other non-picture illustrations should be downloaded separately in a special section of the form for submission of the article in files of *.jpeg, *.gif formats (*.docx in case additional markings are used in images). Image resolution should be >300 dpi. A picture is assigned the title “Figure 1 (2, 3 and so on in order)”. In the text of the article a numbered caption and a full title of the picture should be given. All pictures irrespective of their format and resolution have a single uniform consecutive numbering within the frames of one article.

VI. Abbreviations

Only those word combinations should be abbreviated that are used by the author 3 and more times in the article. Abbreviations should be universal and understandable for reader and should correspond to norms accepted in the scientific literature. The first mention of an abbreviation is accompanied by a full writing of an abbreviated word with the abbreviated form given further in brackets. In abbreviation capital letters should be used. For example, … electrocardiogram (ECG)… If abbreviations are used only in tables and pictures and not used in the text, they should be explained in the notes to a table and picture.

The same rules for abbreviation as for the text of the article are applied to the summary of the article, as to a separate document (abbreviations are used if the word is  mentioned more than 3 times, and explanation is given at the first use of abbreviation).

Abbreviations are not permitted in summaries and conclusions – all words and word combinations are written in full.

VII. Conformity with ethical norms

In section “Materials and Methods” compliance of the work with ethical norms should be clearly reflected. In the manuscript of the original research the following information should be specified: 1) by what Ethical committee(s) the given research work was approved (it is desirable to specify the title of the organization, protocol number and the date of the committee meeting), 2) whether the Informed consent has been signed by participants. In case the consent has not been signed, all participants or a part of them should present justification of the given fact. In case of conduction of research work with participation of animals, it is required to specify if the research protocol complied with ethical principles and norms of conduction of biomedical research with participation of animals. In  description of a clinical case  a written permit of the patient or of his legal representatives for publication of information about the condition of his health  is strictly required (including cases of publication of anonymized information). This fact should be mentioned in the text of the article.

Accompanying documents

On submission of the manuscript to the journal staff an accompanying letter should be additionally loaded (in *.pdf or *.jpg format) addressed to the chief editor with the request to accept the article for consideration (all authors and a full title of the article should be specified) signed by all authors of the article (or several letters containing signatures of all authors of the manuscript). Attention: each author of the article bears responsibility for the whole volume of submitted materials.
